Admin Password and PINs

WDF POS uses two types of credentials: Admin Passwords and Employee PIN Codes. Each serves a different purpose for security and daily operations.


Admin Password

The Admin Password is tied to the administrator account(s) for your store. It is used for higher-level functions that affect reporting, financials, and sensitive account settings.

When the Admin Password is Required

  • Accessing the Reports section
  • Accessing or editing Store Settings
  • Managing Employees and roles
  • Certain functions that impact billing or security

Tip: If an admin checks the box for “Do not prompt for password again this session” when entering their password, the system will not ask again until the session is closed. Closing and reopening the application will reset this and the password will be required again.


Employee PIN Codes

PIN Codes are unique 4-6 digit codes assigned to employees. They are meant for daily use and quick access. PINs are less sensitive than admin credentials and let staff complete most operational tasks.

What PIN Codes Are Used For

  • Clocking in and out of shifts
  • Accessing the Register to take orders
  • Processing sales and payments
  • Performing daily functions without granting access to reports or settings

Why Both Are Important

  • Admin Passwords protect sensitive data and settings. They should only be shared with owners, managers, or trusted admins.
  • PIN Codes keep staff accountable for their actions while giving them the tools they need for day-to-day work. Each employee’s actions (sales, order updates, time clock entries) are tracked under their unique PIN.

Best Practices

  • Keep Admin Passwords private and limited to store leadership.
  • Assign every employee a unique PIN Code. Never let staff share a PIN.
  • Always close and reopen the POS after an admin session to reset the password prompt.
