How to Create and Use Gift Cards

Wash-Dry-Fold POS makes it easy to offer gift cards to your customers and accept them as a payment method. Follow the steps below to set up, issue, redeem, and track gift cards.

Step 1: Enable the Gift Card Payment Method

Before issuing or accepting gift cards, you’ll need to enable the Gift Card payment option in your store settings.

  1. Click the gear icon in the top right corner of the app to go to your Store Settings.
  2. Under the Payment Settings section, check the box to Enable Gift Card payment method.
  3. Click Save at the bottom of the page.

Once enabled, you’ll see a Gift Card Balance button on the Register screen and the option to accept Gift Card as a payment method at checkout.


Step 2: Create or Add Value to a Gift Card

  1. On the Register page, click New Sale.
  2. If you'd like the gift card to be tied to a specific customer, select or add that customer. Otherwise, continue without a customer.
  3. Look for the Add Gift Card Value item in your inventory. If it's not there, you may need to create it on the Inventory page as a retail item.

  4. Enter the amount of value the customer wants to load onto their gift card.

    Proceed to the payment screen and accept payment (cash, card, etc.).

    A prompt will appear asking you to scan or enter the gift card number.

    • If you're using barcode gift cards, scan the card using your barcode scanner.
    • If not, you can manually enter a unique card number.

Once the transaction is complete, the gift card is now loaded with that value and ready to use.

Step 3: Accept a Gift Card as Payment

  1. Ring up a sale like normal.

  2. On the payment screen, choose Gift Card as the payment method.

    Scan or enter the customer’s gift card number.

    The system will deduct the amount from the card balance.

    • If the balance is less than the total, you can pay the remaining amount using another method (e.g., cash or card).
    • If the balance covers the entire amount, the transaction will complete immediately.

Step 4: Check a Gift Card Balance

To check a customer’s gift card balance:

  1. On the Register page, click the Gift Card Balance button.
  2. Scan or enter the card number to display the current balance.

Step 5: View Gift Card Balances Report

At any time, you can view all issued gift cards and their current balances.

  1. Go to the Reports page.
  2. Select Gift Card Balances from the list.
  3. Use this report to monitor outstanding balances and manage gift card liabilities.


Notes:

  • Gift cards are reusable and can be reloaded at any time.
  • If you're using printed barcoded gift cards, be sure your scanner is working properly for seamless use.
  • Gift card payments are tracked separately from other payment types for reporting purposes.
